Propared Sustainability Statement

At Propared, we believe powerful technology should also be responsible technology. As a company supporting production and event teams worldwide, we are committed to operating sustainably and transparently while helping our customers deliver complex projects with less waste and greater efficiency. We know that the carbon impact of cloud computing use is often unaccounted for.


Our Carbon Footprint

Propared maintains a very small annual carbon footprint compared to typical SaaS companies. Based on our most recent assessment:

  • Total annual emissions: ~8.1 metric tons CO₂e
  • Per-customer emissions: ~37 kg CO₂e per year
  • Equivalent to: the emissions of 3-4 average U.S. homes for one month

This footprint includes all Propared business activities, from cloud hosting to travel to home-office operations.


Scope 1-3 Emissions Breakdown (GHG Protocol)

 Scope 1 – Direct Emissions (0%)

Propared has no direct emissions, including:

  • No company-owned vehicles
  • No fossil-fuel heating or generators
  • No on-site combustion sources

Scope 1 Total: 0 tons CO₂e


Scope 2 – Indirect Energy Emissions (Minimal)

Scope 2 includes emissions from purchased electricity.

  • Propared’s primary home office runs on on-site solar energy, effectively eliminating Scope 2 electricity emissions.
  • Remote worker electricity use is categorized under Scope 3.

Scope 2 Total: Effectively 0 tons CO₂e


Scope 3 – Other Indirect Emissions (Nearly 100% of Footprint)

1. Business Air Travel  ~7.0 tons CO₂e

Part of our marketing and business implementation requires limited travel, averaging 35,000 air miles per year, equivalent to ~7,000 kg CO₂e.

2. Hotel Stays at Conferences ~0.3 tons CO₂e

Propared participates in approximately 5 conferences per year which necessitates hotel stays.

This results in ~15 room-nights annually and an estimated 300 kg CO₂e.

3. Cloud Infrastructure & Hosting – 0.52 tons CO₂e

Our hosting provider estimates annual infrastructure emissions of 519 kg CO₂e, or about 6% of our footprint.

4. Remote Work Emissions – 0.32 tons CO₂e

Our remote-first team generates very low emissions from computer use, networking equipment, and lighting—approximately 320 kg CO₂e annually across four staff members.

5. Business Operations (Printing, Office Supplies) – Negligible

Propared operates as an almost paperless company, with virtually no routine printing.

These emissions are minimal and do not materially impact our footprint.

Propared Environmental Policy & Public Environmental Commitment

1. Introduction

Propared is committed to minimizing its environmental impact while empowering performing arts and events organizations to operate more sustainably. As a cloud-based software-as-a-service (SaaS) platform built to support efficiency, communication, and collaboration, we recognize our responsibility to understand and reduce the environmental footprint connected to our operations, products, and partnerships.

This Environmental Policy outlines our principles, current environmental performance, and formal commitments. It serves as a public statement of our dedication to environmental stewardship and continuous improvement.


2. Purpose of This Policy

This policy establishes Propared’s environmental priorities and formalizes our approach to measuring, managing, and reducing our environmental impact. It defines responsibilities within our organization and communicates our commitment to customers, partners, and the broader community.


3. Scope

This policy applies to:

  • All employees, contractors, and company operations

  • All office and remote-working environments

  • Propared’s SaaS infrastructure, cloud services, and digital tooling

  • Partnership activities, business travel, and customer-facing processes

Environmental impacts addressed include:

  • Scope 1–3 greenhouse gas emissions

  • Energy consumption and sourcing

  • Cloud hosting–related emissions

  • Materials use and waste generation

  • Renewable energy adoption

  • Client-facing sustainability considerations


4. Environmental Goals and Principles

Propared’s environmental approach is rooted in the following guiding principles:

5. Greenhouse Gas Emissions (Scopes 1–3)

Propared follows the Greenhouse Gas (GHG) Protocol in measuring and reporting our emissions.

5.1 Scope 1 — Direct Emissions

Propared has no Scope 1 emissions.

  • No company-owned vehicles

  • No combustion-based heating or generators

  • No direct fuel use

Annual Scope 1 Emissions: 0 tons CO₂e

5.2 Scope 2 — Purchased Energy

Scope 2 includes emissions from purchased electricity.

  • Propared’s primary home office is powered by on-site solar energy, eliminating Scope 2 emissions.

  • Remote employees use electricity in their homes; these emissions fall under Scope 3.

Annual Scope 2 Emissions: Effectively 0 tons CO₂e

5.3 Scope 3 — Other Indirect Emissions

The majority of our footprint is Scope 3 and currently totals approximately 8.1 tons CO₂e per year, including:

  • Air Travel: ~7,000 kg CO₂e annually

  • Hotel Stays for Conferences: ~300 kg CO₂e

  • Cloud Hosting, Development and Testing Environments: ~519 kg CO₂e

  • Work-from-home energy use: ~320 kg CO₂e

  • Printing and materials: negligible

This reflects our most complete emissions inventory to date.


6. Energy Consumption & Scope 2 Emissions

6.1 Current Practices

  • The Propared home office operates on solar power.

  • Remote team members are encouraged to adopt renewable energy sources when available.

6.2 Company Pledge

We commit to:

  • Monitor and annually assess electricity consumption across all work environments.

  • Calculate emissions associated with remote work to maintain transparency.

  • Prioritize reductions through efficient equipment, planning, and renewable energy use.


7. Cloud Hosting & SaaS Infrastructure Emissions

Propared’s software platform runs on Microsoft Azure and is hosted across multiple data center regions. We employ a variety of tactics to keep our emissions as low as possible including server optimization, scaling of computing resources based on time and location, and auto fail over.

7.1 Current Understanding

Cloud hosting represents an important but efficient part of our footprint. While Azure provides sustainability tools, complete regional emissions data continues to evolve.

7.2 Company Pledge

We commit to:

  • Track and report our specific emission data provided to us by Azure as accuracy improves.

  • Consider region-level carbon intensity when selecting hosting strategies.

  • Optimize application architecture and resource usage to minimize waste.

  • Publish updates as cloud emissions data improves.


8. Business Travel & Conference Attendance

Business air travel and conference participation currently represent the largest portion of Propared’s footprint.

8.1 Current Practices

  • Average of 35,000 air miles per year ~7.0 tons CO₂e

  • Attendance at ~5 conferences annually

  • Approx. 3 hotel nights per event ~300 kg CO₂e

8.2 Company Pledge

We commit to:

  • Evaluate the necessity of each trip and prioritize virtual participation when possible.

  • Group meetings and events to reduce total travel.

  • Explore sustainable travel options when available.

  • Track hotel stays and incorporate them into our annual emissions inventory.


9. Materials, Printing & Waste Reduction

9.1 Current Practices

  • Propared operates as an almost paperless company.

  • The solar-powered office reduces dependence on fossil-fuel-derived infrastructure.

  • Minimal printing; digital workflows are the default.

  • Equipment is selected for energy efficiency, longevity, and repairability.

9.2 Company Pledge

We commit to:

  • Reduce office waste through reuse and recycling.

  • Minimize use of single-use materials.

  • Select responsible vendors with sustainable packaging and end-of-life programs.


10. Renewable Energy Commitment

Propared is proud that its primary office is powered by solar energy.

We commit to:

13. Governance & Responsibilities

The Executive Team is responsible for approving and maintaining this policy.

Propared’s sustainability working group or designated individuals will:

  • Monitor environmental performance

  • Track energy and emissions data

  • Lead annual policy reviews

  • Recommend new sustainability initiatives

All employees are expected to:

  • Follow environmental best practices

  • Participate in sustainability initiatives

  • Report opportunities for reduction in waste or energy use


14. Monitoring, Reporting & Continuous Improvement

Propared will:

  • Conduct annual reviews of environmental performance

  • Update this policy at least once per year

  • Publicly share key sustainability metrics as data quality improves

  • Adjust goals as technology, data, and business practices evolve


15. Public Commitment Declaration
